Toastmaster of the Meeting

The Toastmaster of the Meeting acts as the Master of Ceremony or as the Host of the meeting, and sets the tone for the meeting.

Before the meeting -

Check with each speaker on the program a few days before the meeting.

Find out speech titles and remind speakers to bring a written introduction for themselves.

Prepare a written introduction for yourself also.

Contact the Club VPE if a speaker drops out and a substitute speaker is needed.

Check with the VPE to see if there is a meeting theme, if possible prepare opening remarks in concert with meeting theme.

Meeting day, prior to beginning - Arrive early and confirm that all people that you will be introducing are present.

Get introductions from: Topicmaster, Speakers, VPE, and Chief Evaluator.

Give your written introduction to the president.

During the meeting - Offer a word of thanks to the president, and take control of meeting when introduced. - Say a few words, opening remarks, to warm up the audience.

- Give a brief overview of forthcoming programs

Introduce the Grammarian, and ask him/her to explain the word of the day.

Introduce the Topicmaster, and be seated after relinquishing control to him/her.

Introduce the Club VPE, who will present the educational portion of the meeting.

At the conclusion of the education program announce that there will be 10 minute recess.

- Remind the evaluators to get the project manuals from the prepared speakers.

- Instruct the timer to keep track of the 10 minute break, and announce when 2 minutes remain.

Reconvene meeting, and explain the prepared speaking program.

Ask the timer to explain the timing for the first speakers speech.

Introduce the first speaker, include the manual project and the objective of the project in the introduction.

At the conclusion of the first speakers speech, remind the audience to fill out the evaluation forms and give them to the first speaker.

Ask the timer to explain the timing for the second speakers speech.

Introduce the second speaker, include the manual project and the objective of the project in the introduction.

At the conclusion of the second speakers speech, remind the audience to fill out the evaluation forms and give them to the second speaker.

Ask the timer if both speakers were within the proper time limits.

Ask the audience to vote for the best speaker, and appoint someone to collect the ballots.

Introduce the Chief Evaluator.

At the conclusion of the evaluation program announce the awards presentation.

Ask last weeks table topic winner to present award to tonight's table topic winner.

Ask last weeks evaluation winner to present award to tonight's best evaluator.

Ask last weeks best speaker to present award to tonight's best speaker.

Conclude, present closing remarks stating that you have concluded your responsibilities as Toastmaster and return control of the lectern to the club president.
